Capturing Voice Memos via the Eleos Sidebar or Mobile Web App

1. What Is Voice Summary?

Voice Summary allows providers to capture a short voice memo via the Eleos Sidebar or mobile app to describe an activity instead of typing. The audio is analyzed by Eleos' AI models to generate structured clinical suggestions — enabling faster, more flexible documentation, especially when typing isn't practical.

💡 Voice Summary is not the same as Live Session recording. Live Session audio is processed and immediately deleted. Voice Summary audio memos are retained to support personalization and quality improvement over time.

2. How to Use Voice Summary — Step by Step

Voice Summary works through a simple, guided flow in the Eleos Sidebar or mobile web app. The whole process takes just a few minutes.

Step 1 — Click 'Enter Summary' in the Sidebar

In the Eleos sidebar toolbar, click Enter Summary to open the session setup screen.

Step 2 — Select Client and Session Details

Select the client, activity type, population, and note type that match your session, then click Next to proceed.

Step 3 — Choose 'Voice Summary' as the Activity Type

On the 'Choose how to add activity info' screen, select Voice Summary to continue with the voice-based documentation workflow.

Step 4 — Click the Microphone Icon to Begin Recording

On the recording screen, click the blue Microphone button to start recording your voice memo. Speak naturally — describe what happened in the session as you would to a colleague.

Step 5 — Speak Your Session Summary

Describe the session: key topics covered, interventions used, how the client presented, safety indicators, and next steps. Keep your memo between 15 seconds and 4 minutes. A timer displays your recording duration as you speak.

💡 Speak as if you're describing the session to a colleague — you don't need to use formal clinical language. Eleos will structure the output for you. The more specific you are, the better the Suggestions will be.

Step 6 — Pause, Resume, or Finish the Recording

Use the recording controls as needed:

Click the blue dot to pause the recording.
Click Resume to continue adding to your memo.
Click the blue Check mark (✓) when you have finished recording.
Click the red Trash icon to discard and start over.

Step 7 — Answer Any Follow-Up Questions

Eleos may surface a small set of follow-up questions to fill in any gaps and enhance note accuracy. Answer these briefly to help Eleos generate more complete Suggestions.

Step 8 — Click 'Generate Suggestions'

Click the Generate Suggestions button. Eleos analyzes your voice memo and generates field-by-field narrative Suggestions. These are not a transcript — they are structured clinical content generated from what you described.

Click 'Generate Suggestions' after answering any follow-up questions.

Step 9 — Review Suggestions and Add to EHR

Once processing is complete, your Suggestions appear in the My Activities list. Review each field, then use Copy to paste content into your EHR or click +Add to insert directly into an active EHR field. Click Mark as Submitted when done.

Review AI-generated Suggestions and use '+Add' or 'Copy' to move content into your EHR note.

💡 Voice Summary Suggestions are a starting point — not a finished note. Always review and apply your clinical judgment before submitting. You are the author of record.

5. Tips & Best Practices

Record immediately after the session. The closer to the session you record, the more detail you'll capture naturally. A quick memo right after the appointment is better than a longer one hours later.
Speak naturally — don't read from notes. You don't need formal clinical language. Describe what happened as you would to a colleague. Eleos handles the structure.
Cover the key clinical elements. Mention presenting concerns, interventions used, client response, safety indicators, and plan or next steps. The more you include, the better the Suggestions.
Stay within the time limit. Memos must be between 15 seconds and 4 minutes. For complex sessions, focus on the most clinically significant elements.
Use your preferred language. Voice Summary supports multiple languages. Speak in whichever language is most natural for you.
Review every field before submitting. Suggestions are generated from your spoken description — they are not verbatim and they are not final. Always review and edit before submitting.

6. Known Limitations & Current Workarounds

6.1 Current Limitations

Not available offline. Voice Summary requires an active internet connection to record and process memos. For offline documentation, use Text Summary on mobile instead.
Memo length: 15 seconds to 4 minutes. Memos shorter than 15 seconds or longer than 4 minutes are not supported. Very brief descriptions may produce sparse Suggestions.
Not a transcript. Providers see AI-generated Suggestions, not their exact words. If verbatim documentation is needed for a specific field, the provider must write it manually.
Chrome or Microsoft Edge required on desktop. Desktop use requires the Eleos Chrome extension.
Microphone permissions required. If the browser doesn't have microphone access, Voice Summary will not work. This is the most common first-use issue.

6.2 Workarounds

For offline situations: Use Text Summary on mobile instead — it supports offline documentation.
For memos over 4 minutes: Focus on the most clinically significant content. If the session was unusually complex, consider using Text Summary with detailed bullet points.
For microphone issues: Check Chrome or Microsoft Edge microphone permissions.

Q: Do I see my exact words as text? Is this dictation?

No. Voice Summary is not a dictation tool. You see AI-generated Suggestions structured from your voice memo — not a word-for-word transcript.

Q: Is this the same as Live Session recording?

No. These are two separate features. Live Session captures the full provider-client session audio in real time, processes it, and immediately deletes the audio. Voice Summary captures a short provider-recorded memo after the session, and that memo is retained by Eleos.

Q: Is Voice Summary available on mobile?

Yes. Voice Summary works in both the Eleos Sidebar (desktop) and the Eleos mobile app.

Q: Does it work offline?

No. Voice Summary requires an active internet connection to record and process memos. For offline documentation, use Text Summary on mobile instead.

Q: What languages does Voice Summary support?

Q: Does data leave the US?
